Registering a reservation means recording a guest’s room booking request and confirming it in the hotel’s system. It is the first step of guest service in the Front Office.

Opera PMS – Reservation Tutorial

(Step-by-Step for Training Purpose)

Step 1: Login to Opera PMS

• Enter Username & Password (given by hotel).

• Select the correct Property (if working in a chain).

Step 2: Open the Reservation Module

• On the Opera dashboard, click on:
  Reservation → New Reservation

Step 3: Search for Guest Profile

• Opera always checks if the guest has stayed before.

• Enter Guest Name / Phone / Email.

• If guest exists → select profile.

• If new guest → click Create Profile.

Step 4: Enter Reservation Details

Fill in the Reservation Screen Fields:

1. Arrival Date – Select check-in date.

2. Nights – Enter number of nights.

3. Departure Date – Auto-calculated by system.

4. Adults / Children – Enter total pax.

5. Room Type – e.g., Deluxe, Suite, Standard.

6. Rate Code – Enter rate (BAR, Corporate, Package, etc.).

7. Payment Method – Credit Card / Cash / Bill to Company.

8. Market Segment – e.g., Corporate, Leisure, Group.

9. Source of Business – e.g., OTA, Direct, Travel Agent.

10. Special Requests – Early check-in, Extra bed, Airport pickup.

Step 5: Assign Room (Optional at this Stage)

• Either Allocate a Room Number immediately
  OR

• Keep as Unassigned (system will assign at check-in).

Step 6: Guarantee / Deposit

• Choose the guarantee type:

  • Credit Card Guarantee

  • Advance Deposit

  • Company Guarantee

• Enter card number (if applicable).

Step 7: Save Reservation

• Click Save.

• Opera generates a Confirmation Number.

Example: “Reservation confirmed with Confirmation No. 567432

Step 8: Send Confirmation to Guest

• Opera allows you to:

  • Print Confirmation Letter

  • Email Confirmation directly from system

Step 9: Update Reservation Chart

• The booking will now reflect in:

  • Availability Screen (Room Inventory)

  • Reservation List

  • Guest Profile History
